The short version
- We keep only what TailLog needs: your email, a scrambled version of your password, and the pet details, photos and documents you add.
- We never sell your information, and we don't use it for advertising.
- Analytics cookies are off unless you press Accept on the cookie banner. You can change your mind at any time.
- You can download a full copy of everything, or delete your account and all your data, from the Account screen in the app.

What we collect, why, and our legal reason
| What | Why we use it | Legal basis (UK GDPR) |
|---|---|---|
| Account details Your email address and a password (stored only as a one-way scrambled "hash", so we can't read it). |
To create your account, sign you in, and let you reset a forgotten password. | Contract: we need this to provide TailLog to you. |
| Pet information Names, species, breed, date of birth, weight, treatment history, photos, and documents you upload (for example vet records or insurance papers). |
To run the service: working out due dates, showing the timeline and document wallet. | Contract. |
| Service emails Password reset emails and, if you keep them switched on, reminders that a vaccine, flea or worming treatment is due. |
To help you look after your pet and to keep your account safe. You can switch reminders off in the Account screen. | Contract (and legitimate interests in keeping accounts secure). |
| Marketing preference Whether you ticked the box for tips and product news, and when. |
To send you occasional tips and news only if you asked for them. We keep the date and the exact wording you agreed to as proof. | Consent. Withdraw it at any time in the Account screen. |
| Sign-up record The date you agreed to our Terms and Privacy Policy, and which version. |
To show that you agreed. | Legitimate interests (keeping a record of our agreement with you). |
| Security data Your internet (IP) address is used briefly by the server to slow down repeated wrong password attempts and to stop people flooding the service. Our hosting provider also keeps ordinary server logs. |
To protect accounts and keep TailLog running. | Legitimate interests (security and preventing abuse). |
| Website analytics Only if you press Accept: which pages are visited, the type of device and browser, and roughly where in the world visitors are. |
To understand how TailLog is used so we can improve it. | Consent. |
We do not use your information to make automated decisions about you, and we do not sell it or share it for advertising.
Some of the documents you upload may contain information about you (such as your name and address on an insurance letter). Please only upload what you're comfortable storing here. Everything you upload is private to your account.
Cookies and similar technology
TailLog uses as little as possible. Here is everything that is stored on your device:
| Name | What it does | Lasts | Needs your consent? |
|---|---|---|---|
connect.sid |
Keeps you signed in. It contains a random code, not your details. | Up to 30 days, or until you sign out | No. It is strictly necessary for the service you asked for. |
taillog_consent (stored in your browser) |
Remembers whether you pressed Accept or Decline on the cookie banner, so we don't ask every visit. | Until you clear your browser data or change your choice | No. It only records your choice. |
_ga and _ga_… (Google Analytics) |
Tell us, in aggregate, how the site is used. | Up to 2 years | Yes. Only set if you press Accept. |
If you press Decline (or ignore the banner), Google Analytics is never loaded and nothing is sent to Google. When analytics is on, we switch off Google's advertising features and we never send your email address, pet names or anything you enter into TailLog to Google. You can change your choice at any time using the Cookie choices link in the footer of every page.
Who we share your information with
We use a small number of companies to run TailLog. They may only use your information on our instructions, under contracts that require them to protect it.
| Company | What they do for us | Where |
|---|---|---|
| Railway Corporation | Hosts the TailLog app, its database and your uploaded files. | United States |
| Brevo (Sendinblue SAS) | Sends our emails (password resets and reminders). They see your email address and the email's contents. | European Union |
| Google (Google Analytics) | Analytics, only if you press Accept on the cookie banner. | United States and elsewhere |
We may also share information if the law requires it, for example if ordered by a court.
Sending information outside the UK
Our hosting provider stores your data in the United States, and Google may process analytics data there too. When your information leaves the UK we make sure it is protected by the safeguards UK law approves, such as the UK data bridge or standard contractual clauses (with the UK addendum) in the provider's data protection terms. Brevo is based in the EU, which the UK recognises as providing adequate protection. You can ask us for more detail using the email address above.
How long we keep it
- Your account, pets, photos and documents: until you delete your account. Deleting it removes everything straight away, including uploaded files and every signed-in device.
- Password reset links: valid for one hour, and only a scrambled version is stored.
- Sign-in sessions: up to 30 days, or until you sign out.
- Analytics: only if you accepted, and kept by Google Analytics for no longer than 14 months.
- Backups: routine backups held by our hosting provider, if any, are overwritten in the normal course of their operation.
Your rights
Under UK data protection law you have the right to:
- be told what we hold about you and get a copy (in the app: Account, then Download my data);
- have wrong information corrected (you can edit most of it yourself in the app);
- have your information deleted, known as the right to erasure (in the app: Account, then Delete my account);
- ask us to restrict how we use it, or to object to a use based on legitimate interests;
- receive your data in a portable, commonly used format (the download is a zip with a JSON file plus your original photos and documents);
- withdraw a consent at any time, without affecting what happened before, using the switches in the Account screen or the Cookie choices link.
To use any of these, email hello@cambriandigital.co.uk. We will reply within one month. We may need to check it's really you before we act on a request.
If you're unhappy with how we handle your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Keeping your information safe
Passwords are stored only as a strong one-way hash. All traffic between your device and TailLog is encrypted (HTTPS). Uploaded files are private to your account and are never available by a public link. Repeated wrong password attempts are blocked. No system is perfectly secure, but we take care to protect what you trust us with. If a breach ever put your rights at risk we would tell you and the ICO as the law requires.
Children
TailLog is for adults aged 18 and over. We don't knowingly collect information about children. If you think a child has created an account, please email us and we will delete it.
Changes to this policy
If we change this policy in a way that matters, we will update the date at the top and, where appropriate, tell you in the app or by email.
